Overview

This documentation outlines the configurable campaign delivery methods within the campaign settings. While building a campaign, the architect can select between email or SMS delivery to align with specific campaign objectives. Scheduling options include recurring deliveries within the defined day and time ranges, immediate transmission via the "send now" option, or scheduling for future delivery at specified dates and times. Moreover, campaigns can be structured for simultaneous delivery to all recipients in bulk or in smaller groups (batches) over predetermined periods, facilitating a controlled and strategic dissemination of campaign content.

Delivery Methods

For Campaigns with surveys, a unique URL is generated for each survey request that identifies the reviewer and reviewee. This link can be delivered to the recipient via email or SMS.

Email Delivery

Campaign communications, inclusive of survey links, are efficiently directed to recipients' designated email addresses within the Experience.com platform. With diverse delivery domains available, such as @experience.com or @experience.us, the survey maintains a personalized touch by being delivered in the name of the user, tier, or company, contingent upon configured settings. In the context of survey campaigns, users benefit from the flexibility to configure or disable up to eight unique emails. This encompassing suite includes an initial survey request, three automated reminders, distinct survey completion emails for positive and negative responses, a social post reminder, and a survey retake request. The integration of dynamic fields further facilitates personalized communication tailored to individual recipients.

SMS Delivery

For customers with valid U.S. phone numbers, SMS Delivery offers an alternative channel for campaign communications. All SMS messages from Experience.com are consistently sent from the same designated number. Recipients possess the ability to manage their subscription preferences by texting STOP to unsubscribe or START to resubscribe from receiving SMS messages from Experience.com. It's essential to note that if a recipient has previously unsubscribed from text messages from a professional in a prior transaction, they may not receive subsequent SMS messages, even if they are from a different company or professional. Similar to Email Delivery, SMS campaigns allow users to configure or disable eight unique messages, covering an initial survey request, three automated reminders, two distinct survey completion messages for positive and negative responses, a social post reminder, and a survey retake request. Dynamic fields also enable personalization within these SMS messages, ensuring a customized and effective communication approach.

Delivery Settings

Within a campaign's delivery settings, managers wield extensive control over the communication methodology. Beyond selecting the mode of communication, these settings provide a nuanced configuration of the campaign's outreach strategy.

Managers can specify the maximum allowable number of reminders per transaction, thereby controlling the frequency of manually triggered reminders by users. Additionally, administrators can fine-tune the delivery windows for both weekdays and weekends, dictating the timeframe during which campaigns are sent.

The versatility of these settings extends to scheduling options, including recurring deliveries within specified time ranges for new transactions, immediate transmission upon transaction receipt, or scheduling for later initiation on specific dates and within designated time frames. Furthermore, administrators can choose between sending campaigns in bulk, delivering all communications at once upon data receipt, or in batches, disseminating campaigns to small user groups with specified time intervals between batches.

Maximum Number of Email & SMS Reminders

The maximum number of email & SMS reminders is a setting that allows managers and admins to control the total number of reminders (email & SMS, combined) that can be initiated for a single survey transaction. This total comprises both automated reminders and those manually triggered by users. By configuring this setting, administrators can maintain precise control over the frequency and volume of reminders associated with each survey transaction, ensuring a balanced and controlled communication approach.

Scheduling Campaign Delivery

Campaign delivery in the platform offers a range of scheduling options tailored to meet diverse communication needs. Managers/admins can opt for recurring delivery, specifying days and time ranges for campaigns to be systematically dispatched. Alternatively, the "send now" option enables immediate dissemination to recipients of the ingested data, optimizing real-time communication. For strategic planning, managers can schedule campaigns for later, allowing them to choose a specific date and time for optimal delivery. Moreover, managers can configure campaigns to reach all recipients simultaneously (in bulk) or to deploy in smaller, staggered groups (batches) over predefined intervals, facilitating a controlled and efficient distribution process. This flexibility in scheduling empowers users to align their campaign delivery with precise timing and strategic objectives.

Recurring

The recurring campaign, the default setup, streamlines the scheduling process by allowing the establishment of weekend and weekday time frames for survey delivery once data is ingested from the source. This configuration ensures that the data source automatically and consistently ingests new data and initiates campaign deliveries to recipients within the specified time frames. The automated and systematic nature of recurring campaigns simplifies the ongoing communication process, providing a reliable and efficient method for reaching recipients at designated intervals.

Send Now

The Send Now delivery option expedites campaign delivery by transmitting campaigns to recipients in the data file at the present date and time. This functionality allows for on-demand file uploads or data ingestion, initiating immediate campaign deliveries upon command. Whether choosing to launch campaigns all at once in bulk or in smaller, staggered groups over predefined intervals (in batches), the "Send Now" option provides flexibility and control in the timing and distribution of communications. This real-time delivery capability ensures that time-sensitive messages reach recipients promptly, enhancing the agility and responsiveness of campaign deployment.

Send in Bulk

The Send in Bulk option triggers the simultaneous delivery of a campaign to all recipients identified in the data file or through ingestion. To ensure that a campaign reaches all recipients concurrently, set the Send in Bulk toggle to YES.

This straightforward configuration streamlines the process of mass communication, enabling accounts to efficiently disseminate campaigns to the entire recipient list with a single action. The Send in Bulk feature is instrumental in scenarios where synchronized and immediate communication with the entire target audience is paramount.

Send in Batches

The Send in Batches option provides a structured approach to campaign delivery by disseminating the campaign to recipients in smaller, staggered groups with a specified time interval between each batch. To implement this delivery strategy, activate the Send in Batches toggle by setting it to YES. Additionally, configurers have the flexibility to define the duration, in hours, between each batch. This feature is particularly useful when a controlled and phased dissemination of a campaign’s content is preferred, allowing for strategic management of recipient engagement over time or load management on servers for the largest files.
