Overview
Follow Up Boss is a customer relationship management (CRM) software for real estate agents and brokers. The software helps real estate professionals manage their leads, organize workflows, and streamline their client communication. Follow Up Boss's features include lead capture and distribution, lead nurturing and follow-up, task management, and reporting and analytics. Integrating Follow-Up Boss with the XMP allows you to:
Ingest real estate transaction data from Follow Up Boss into Experience.com
Map ingested data to users and campaigns within the account
Automate campaigns and surveys to personas based on role in the transaction, transaction type, journey moment, or location.
Transactions ingested from Follow-Up Boss into the XMP are labeled as verified transactions.
Prerequisites for Configuring a Follow Up Boss Integration
Several prerequisites must be met before Experience.com can access and ingest process or project data from Follow Up Boss CRM. Follow Up Boss uses Zapier’s technology to integrate with Experience.com and other applications. To integrate with Follow Up Boss via Zapier, you will need:
A Zapier Starter package plan ($19.99/mo)
An API key from the organization’s Follow Up Boss instance
An API key from the account’s ingestion set up in the XMP
Obtain an API Key from your Account’s Ingestion Setup
To create a new configuration, navigate to the Account Settings page and open the Ingestion Settings. Scroll to find and click Follow Up Boss CRM, and then click the blue “New Connection” button.
Create a name for the connection, then enter the Access token retrieved from your monday.com account. Click outside of the text boxes to allow the system to validate the credentials.
When the connection is validated, enter a point of contact, which is required to activate the connection.
Scroll down to the bottom of the ingestion setup, ensure the Activate Connection setting is checked, then click the blue Save button.
When the Follow Up Boss CRM configuration has been verified and connected, click back into it to access the API Key.
When called for in the instructions, locate the API Key and click the copy button to copy it to your computer’s clipboard.
Configuring the Follow Up Boss Integration
To configure the integration between Follow Up Boss and Experience.com, you will first need to create a Zap within Zapier. Then, a filter should be added so that transactions are only ingested when a transaction status equals closed (or another desirable trigger point). Once a filter has been added, a zap can be created for Experience.com to retrieve the information. Finally, the data from Follow Up Boss has to be mapped to fields available via Zapier. Once the fields are mapped properly, the connection can be finalized and the automation can begin.
Take the following steps to get started:
Create a Follow Up Boss Zap in Zapier
Log in to Zapier, then click Create Zap.
Click 1. Trigger to start building the Zap.
In the search bar, search for and select Follow Up Boss from the list of Apps.
Once you have chosen Follow Up Boss as the app, select the trigger event: Deal Stage Updated (or other preferred trigger). Then, click Continue.
Click the sign-in button next to the Follow Up Boss logo, then enter the API key that you retrieved from your Follow Up Boss instance. Click the orange Continue button.
Customize the Trigger
In the Trigger sub-menu, select the following options from the expandable menus, then click Continue.
Pipeline Name: the pipeline the transactions are coming from in Follow Up Boss.
Stage name: the stage at which the transaction should be triggered for ingestion into the XMP.
Test the trigger fields by clicking the purple Test button to ensure all the data flows properly from Follow Up Boss to Zapier. When the Test data is displayed, ensure it is correct, then click Continue with the selected record.
Create an Action for Experience.com to Retrieve the Data
Search for and select Experience.com for the new action.
For the event, type and select Follow Up Boss Integration then click Continue.
In the Account sub-menu, click Sign in or Connect a new account. When re-directed, enter the API key that you retrieved from the account’s ingestion set-up in the XMP and click Continue.
Map Follow Up Boss Fields in Zapier
When the Action menu expands, each field from Follow Up Boss needs to be mapped to an Experience.com field. For each field provided on the screen by Zapier, type or insert the corresponding field from Follow Up Boss, then click Continue.

When the fields have all been mapped, test that data is pulling into all of the places it should be.
Finally, click Done Editing, then turn the Zap on with the toggle at the top of the page.
Once the Zap is enabled, data will be pulled in from Follow Up Boss and into Experience.com for transaction ingestion. Because of the API connection within the integration, data is transferred more often than on a daily basis. Transactions will typically be processed within hours of the status update.
