Admin Roles and Permissions

Overview

Admins in the Experience Management Platform (XMP) are individuals, generally Experience.com employees, responsible for specific administrative functions, including Organization and Account creation and management, individual user management, and more. This document outlines the Admin roles and the responsibilities and permissions associated with them.

Logging In

Admins access the XMP by logging in via Google GSuite Single Sign-on (SSO). Use the following link to log in as an Admin: https://api.experience.com/auth/google_oauth2.



Super Admin

Superadmins hold a critical role within the Experience.com platform's administrative framework. They are assigned only by management and have full access to the contents and functionality of the platform. These privileges encompass the ability to perform all platform actions, including the creation, modification, activation, and deactivation of other Admin accounts.

A Super Admin’s full access to the platform also includes access to:

  • Create, modify, activate, and deactivate Organizations and Accounts.

  • View and manage abusive reviews in Abusive Review Management.

  • View, manage, and create Campaign templates.

  • Transaction Monitor for all Organizations and Accounts.

  • Create, manage, and support individual users (professionals).

Admin Groups

Admins can be assigned to one or more Groups. Groups organize admins based on business function, and each group has a distinct set of permissions and access to the platform. Admins inherit access and permissions from the group(s) they are assigned.

Admins may belong to one or more groups unless they are an XPA. XPAs are only allowed to be assigned to the XPA Group. Each group has a unique set of permissions, allowing them to interact with the platform in the manner that matters most to their daily business use. When an admin is deactivated, they are automatically removed from the group(s) they were assigned.

Super Admins can edit group settings, including the group description and members.

Experience Platform Administrators (XPAs)

An XPA, or Experience Platform Administrator, is a certified professional who has undergone training through the Experience.com XPA program.

Similar to the role of a Salesforce Administrator, an XPA serves as a valuable asset to companies aiming to leverage the full potential of the Experience Management Platform (XMP). With their certification, XPA professionals possess the expertise to assist companies in identifying, designing, connecting, and launching products and campaigns within the platform. This specialized role empowers organizations to optimize their utilization of the XMP, offering an elevated level of support and insights beyond what is typically available to Organization and Account Managers. An XPA certification is a testament to their proficiency and commitment to enhancing the platform's functionality to benefit our valued customers.

XPAs have access to:

  • Create new Organizations.

  • View and manage Organizations they created and that are assigned to them.

  • View, manage, and create Accounts within the organizations they manage.

  • View, manage, and take action on reviews in all Accounts they manage.

  • Generate and download reports for the Organizations they manage.

In summary, XPAs possess many of the same permissions afforded to Super Admins without the ability to access or manage other Admins and Campaign templates.

Please note that any individual assigned to the XPA Group cannot be assigned to additional Admin groups.

Onboarding and CS Admins

The key distinction between CS (Customer Success) Group Admins and Onboarding Admins lies in their access and management capabilities within the Experience Management Platform (XMP). Onboarding Admins possess broader access, as they can seamlessly navigate through and access all Organizations within the XMP. They can search, explore, and create new organizations as needed.

In contrast, CS Group Admins have more restricted access, limited to the Accounts and Organizations specifically assigned to them. While they can create accounts within the Organizations assigned to them, they lack the authority to create new organizations.

Both CS Group and Onboarding Admins share the capacity to manage additional products for Accounts, ensuring comprehensive support for their respective areas of responsibility.

Sales Admins

Sales Admins operate within a restricted access framework in the platform, primarily granted visibility into Organizations assigned to them by a Super Admin. Their access is tightly focused, with the ability to search Accounts and exclusively display results within the Organizations they are assigned.

Within an Account, Sales Admins can access the Hierarchy, review its structure, and generate specific Reports to glean insights from Account data. It's important to note that the Sales Admin role is confined to read-only access within Accounts, precluding them from making modifications or interacting with elements such as the Hierarchy, Campaigns, or Reviews. This controlled access ensures that Sales Admins can effectively view, demo, and extract Account data pertinent to their daily sales needs without altering critical settings or information.
